WELCOME
Thank you for your interest in trading at the Love Local Markets at Greendale. We are delighted to welcome both new and returning traders and look forward to working with you to deliver a successful event.
- The Summer Market will run from 1st to 30th August 2026, with trading hours from 11am to 6pm daily.
- The Christmas Market will run from 4th to 24th December, with trading hours from 11am to 5pm daily.
Please read this document carefully, as it contains important information regarding setup and breakdown procedures, parking, health and safety, and other key requirements relevant to your participation in the market. By attending either the Summer or Christmas Market, you agree to the terms and conditions set out below.

SET-UP AND BREAK-DOWN
Day of Arrival/ Restock Days
Access to containers will be available from 8:00am.
- Vehicles must be parked in a designated space within the main car park to unload stock and equipment. Parking adjacent to containers is not permitted due to health and safety restrictions.
- You will receive a layout map, unit number, and padlock prior to arrival.
- Greendale staff are unable to assist with stall setup or breakdown. Traders should ensure they have adequate help if required. Trolleys are available on site for use.
- Once unloading is complete, vehicles must be moved to the overflow car park. All vehicles must be relocated by 10:00am.
- Vehicles may not return to the main car park until after 6:00pm.
- Traders arriving after 10:00am must park in the overflow car park and unload from there. Please allow additional time for the short walk to the containers.
ATTENDANCE, LATENESS & NO-SHOW POLICY
Exhibitors are expected to arrive on time and be fully open and trading for the published market hours. Late arrival, failure to open, or non-attendance without prior notice disrupts market operations and impacts customer experience.
Greendale Farm Shop operates a three-strike policy in relation to lateness and no-shows
A no-show is defined as failure to attend a booked trading day without prior notice. Repeated late arrivals or failure to be open for the full trading period will also be treated as strikes. No refunds or fee reductions will be issued in relation to lateness or no-shows.
CONTAINER & SITE FACILITIES
Each exhibitor will be provided with:
- One strip light
- Two double plug sockets
- One fire extinguisher
- One padlock
All additional equipment must be supplied by the exhibitor, including tables, display units, and extension leads. All electrical equipment must be in good working order and hold valid, up-to-date PAT certification.
The organising team reserves the right to relocate stalls where necessary for the overall benefit or safety of the market.
Each container is fitted with a fire extinguisher as part of standard safety provisions. This equipment should only be used if you are confident in its operation. If you would like a demonstration prior to arrival, please contact the organising team in advance.
ELECTRICITY
All electrical items brought onto site must be safe, compliant with all relevant regulations, and PAT tested within the required timeframe. Maximum permitted electricity usage will be specified prior to the event. Any exhibitor or attendee found exceeding the permitted usage may be required to remove electrical items and, in serious or repeated cases, may be asked to leave the site without refund.
CLEANLINESS & WASTE MANAGEMENT
Exhibitors are responsible for maintaining the cleanliness of their unit and surrounding area. All waste must be taken off site at the end of each day.
TOILETS
Customer and staff toilets are located at the rear of the shop, near the bakery, and are cleaned regularly.
FIRE SAFETY
The fire assembly point is located by the duck pond. A fire extinguisher is provided in each container. Please ensure you are familiar with its location and use; assistance can be provided by the Greendale Farm Shop team if required.
FIRST AID
Trained first aiders are available within the farm shop.
FOOD SAFETY & ALCOHOL LICENSING
- The organisers and Environmental Health Officers reserve the right to inspect trading units at any time before or during the event.
- All traders must comply with relevant legislation enforced by East Devon Council Trading Standards and Environmental Health.
- Any trader found to be in breach of regulations may be required to cease trading immediately, without refund. Non-compliance may also affect eligibility for future events.
- Traders selling alcohol must operate a Challenge 25 policy, clearly display Challenge 25 signage, display a Weights and Measures notice, and maintain an alcohol refusal log.
Traders are solely responsible and liable for the food and drink they sell. All required food hygiene and licensing documentation must be displayed throughout the event.
WEATHER
The event will proceed in all weather conditions unless cancelled by Greendale Farm Shop. Exhibitors must be open and operational for the full trading period regardless of weather. No refunds, discounts, or compensation will be provided in the event of adverse weather.
TRADER ENGAGEMENT
Based on previous experience, Greendale Farm Shop has found that customer engagement and overall event success are significantly improved when traders actively engage with customers. Exhibitors are therefore expected to actively promote their products, engage with visitors, offer samples where appropriate, and maintain a welcoming and visible presence throughout trading hours.
CANCELLATION POLICY
Cancellation by Exhibitor
If you wish to cancel your booking, please notify us by email at markets@greendale.com.
- Cancellations received in advance of one month before the event start date will be eligible for a refund.
- Cancellations received within one month of the event start date will not be refunded.
Cancellation by Greendale Farm Shop
Greendale Farm Shop reserves the right to cancel all or part of the event where it is deemed unsafe for visitors, exhibitors, or staff. This includes, but is not limited to, adverse weather conditions, public emergencies, national mourning, police or council orders, national terrorism threat levels, or emergency infrastructure works.
Due to significant operational costs, including staffing, infrastructure, and marketing, refunds will not be issued in the event of cancellation under these circumstances.
PAYMENT TERMS
Full payment is required no later than one month in advance of the event start date to secure a trading space at the Love Local Markets at Greendale. Bookings that have not been paid in full by this date may be cancelled and the space released.
For enquiries or bookings made on or after this date, Greendale Farm Shop will provisionally hold the trading space for 24 hours from the time of confirmation. Full payment must be received within this period to secure the booking. If payment is not received within 24 hours, the space may be released and offered to another trader.
All payments are non-transferable and subject to the Cancellation Policy outlined in these Terms and Conditions.
REQUIRED DOCUMENTATION
The following valid documents must be provided no later than one month in advance of the event start date. Failure to supply the required documentation may result in the loss of your allocated trading space:
- Public Liability Insurance
- Product Liability Insurance (with reasonable cover)
- Risk Assessment
- Vehicle Registration Details
SECURITY
Exhibitors are solely responsible for the security of their goods, equipment, and stock at all times. Greendale Farm Shop accepts no liability for any loss, damage, theft, or financial impact incurred.
Any possessions or stock left on site remain the responsibility of the exhibitor. Exhibitors are also responsible for any damage caused to Greendale Farm Shop property, including containers, and may be liable for repair or replacement costs.
For urgent overnight security concerns between 6:00pm and 6:00am, Greendale’s overnight security team can be contacted on 07498 384272.
CONTAINER USE GUIDELINES & CONDUCT
Traders are welcome and encouraged to decorate and personalise their containers. However, drilling into containers or making any structural alterations is strictly prohibited.
External branding is permitted but must be approved by Greendale Farm Shop prior to arrival.
All goods offered for sale must be legal and appropriate. Prohibited items include, but are not limited to, pirated or counterfeit goods, age-restricted items sold without appropriate authorisation, knives, weapons, or any items deemed unsuitable by the Market Team. Goods must not pose a risk to traders, staff, or the public.
All traders and their staff are expected to behave in a professional manner that does not cause disruption, nuisance, or inconvenience to others within the market or Greendale site.
Please note that ramps are not provided for containers. As containers are raised above ground level, traders may need to offer additional assistance to customers purchasing from outside the unit.
REFRESHMENTS & FOOD
Traders will have access to the coffee machine and filtered water machine located in the staff canteen. Please note that you must bring your own reusable cup or water bottle, as these are not provided.
The farm shop will be open from 8:00am for the purchase of food and drinks. Greendale Kitchen and the Fish and Chip Shop will also be offering takeaway breakfast options to purchase.
DATA PROTECTION
Greendale will only process The Applicant’s data for marketing purposes where they have given express consent to us to do so or where there is a legitimate interest for us to do so. The Organisers comply fully with the Data Protection Act 2018 and General Data Protection Regulation.
